The overall purpose of this division is:
"...to provide administrative support services and coordinates manpower and financial estimates for DPSM"
In order to achieve the above purpose, the division performs the following functions:
Accounting Services:
maintaining vote ledgers, preparing pay sheets and payment of industrial class;
preparing payment vouchers for submission to Ministry of Finance and Development Planning for payment to supplies;
collecting revenue;
issuing rail road and and airline warrants; and
preparing arrears of revenue estimates.
Secretarial Services:
typing all correspondence in the department.
Transport Services:
allocating available vehicles to all staff for day-to-day assignments; and
preparing requests for repairs of vehicles to CTO.
Records Management:
processing all incoming and outgoing mail; and
maintaining DPSM records system i.e. files, etc.
Supplies:
maintenance of stores ledger cards and supplies inventory;
purchasing (equipment, furniture and all the consumables) for the Directorate;
issuing invoices from supplies to accounts for settlement;
issuing of stationery to other divisions;
regular checks in office inventories to ensure safe custody of supplies; and
responding to audit and supplies queries.
Other General Functions:
cleaning and ground services;
administration of DPSM industrial class employees; and
human resource functions e.g. terminal benefits, staff inventory, maintenance of staff, leave records, etc.
Departmental Management Division has an establishment of 66 posts as at 30th April, 2007.
